Dental Hygiene Clinic Coordinator

Appointment Period:

This position does not include an appointment. Will work up to 16 hours per week during the Fall & Spring Semester (off during the Summer).

Responsibilities: The Dental Hygiene Clinic Office Assistant will be responsible for managing clinical support services and facilitating the work of the dental hygiene clinic coordinator.

Specific Duties:
  1. Serves as receptionist for the Dental Hygiene Clinic
  2. Schedules patients, collects fees, and coordinates appointments for dental hygiene students.
  3. Assists with the operation of the clinic facility including the management of appointments, records, billing, inventory, hazardous waste, and infection control.
  4. Deposits clinic fees at the College’s Business Office.
  5. Performs general office duties including generating purchase and maintenance requests, and ordering office supplies for the clinic and dental hygiene program.
  6. Works with the clinic coordinator to produce clinic program documents.
  7. Collaborates with students as they fulfill the business assistant role.
  8. Distributes information regarding the services provided at the Dental Hygiene Clinic.
  9. Effectively uses patient scheduling software, patient electronic health records, and other computer programs as indicated.
  10. Enters patient data into the computer program that tracks students’ progress and services provided during each visit.
  11. Transmits electronic radiographs and referrals to patients’ private dentist or specialist as needed.
  12. Inventories and facilitates the laundering of faculty clinic jackets.
  13. Maintains database of faculty health records and CPR.
  14. Faxes and follows up on medical clearances to physicians for patients prior to the clinic visit.
  15. Attends all mandatory professional development and divisional meetings.
  16. Adheres to all College and Program policies.
  17. Performs other similar duties as required.

Major Work Qualifications: Knowledge of office practices and procedures. Working experience using Microsoft Office products (Excel, Word, etc.) emailing, faxing, scanning, and writing business letters reflecting standard procedures. Ability to meet and deal politely and effectively with the general public, staff, faculty, and students. Excellent verbal and written communication skills. Ability to function within a team environment. One to three years of experience as a secretary in a dental/medical office environment preferred. Experience with computerized patient management systems and electronic dissemination of records preferred. Associate degree in office administration or its equivalent required. Must have an appreciation for and understanding of a two-year college mission; candidate should have demonstrated awareness of diversity issues in higher education and possess skills in cultural competency.

Salary: Commensurate with education and experience
